Marketing teams: the constraint is volume, not quality

Most marketing writing is a first draft that will be rewritten anyway. Producing it at speaking speed means you test five versions instead of shipping the first one.

The economics of a first draft

Marketing output is mostly drafts. The landing page copy will be rewritten, the email will be A/B tested, the post will be reworded by whoever owns the channel. The first version exists to be improved.

When a first draft costs twenty minutes of typing, you write one and defend it. When it costs ninety seconds of speaking, you write five and pick. That is a different creative process, and it is the actual argument for dictation in marketing — not the words-per-minute figure.

Creative feedback, which is the sleeper

The single most under-rated use of dictation in a marketing team is feedback to designers, writers and agencies. Typed feedback is short because typing is slow, and short feedback is vague, and vague feedback produces another round.

Typed feedback

Not quite there — can we make it feel more premium?

Dictated in 40 seconds

The layout is right and the photography is working. What is undercutting it is the button treatment — the gradient and the drop shadow are doing a lot of work and reading as 2019 SaaS rather than premium. Try flat colour and more space around it. Second thing: the subhead is three lines and the eye skips it, so it is carrying no weight. If we cannot cut it to one line, I would rather lose it and let the photograph do the job.

That is one round saved, every time. Across a campaign it is days.

AI prompts for copy

Marketing teams use AI heavily for drafting, and the output is only as good as the brief. A typed prompt is nine words because typing is tedious. A spoken one carries the audience, the objection you are answering, the tone, the things to avoid, and what a bad version would look like.

Make your standing brand context a spoken snippet and attach it to every prompt in three words. See dictating better AI prompts.

The confidentiality point people forget

Marketing dictation contains unannounced launches, pricing changes, positioning against named competitors, and customer names in case studies that have not been signed off. Most teams would not email that to an unknown vendor, and a cloud dictation app is exactly that.

Setting it up

  1. Teach it the brand vocabulary Product names, feature names, competitors, the customers you reference. Marketing writing is dense with proper nouns.
  2. Make a brief-template snippet Audience, objective, message, proof, call to action, what to avoid. Dictate into each heading.
  3. Make a brand-context snippet for AI prompts Tone, banned words, audience, the positioning. Three spoken words, attached to every prompt.
  4. Dictate variants in one pass Speak five versions back to back without stopping to judge. Choose afterwards.
  5. Keep headlines on the keyboard As above. It is the one consistent exception.

Questions

Will dictated copy sound different?

Yes, and usually for the better in body copy and social — more direct, less corporate. It is worse for headlines and anything with a character limit, which are compression tasks rather than writing tasks.

Does it work in HubSpot, Mailchimp, Figma and Google Docs?

Yes, all of them, because a system-wide dictation app types where your cursor is. Web apps and desktop apps behave identically and no integration is needed.

Is unreleased campaign material safe to dictate?

With on-device recognition, yes — the audio is not transmitted. With a cloud dictation service, your unannounced launch is being sent to a third party as you describe it.

Can a team share a vocabulary or snippet list?

Not automatically in VV — settings are per machine. In practice teams write the list down once and each person adds it, which takes about ten minutes and is worth doing centrally.
