How to dictate in Word on a Mac, with or without a 365 subscription
Word has a dictate button if you subscribe to Microsoft 365 and have a connection. If you do not have both, a system-wide Mac app does the same job and keeps working offline.

Method one: Word's Dictate button
- Check you are signed in to Microsoft 365 Microsoft states the dictation feature is only available to Microsoft 365 subscribers. On a perpetual Office licence the button does nothing useful.
- Open the document and click into it As usual.
- Home tab → Dictate, or press ⌥ + F1 Microsoft documents that shortcut for Word for Microsoft 365 for Mac and Word 2024 for Mac.
- Speak, including punctuation "Full stop", "new paragraph". Word also understands some formatting commands.
- Click Dictate again to stop
If you already pay for 365 and always have a connection, this is free and well integrated. Microsoft's server-side speech models are good.
Method two: a system-wide Mac app
- Click into the document
- Hold your shortcut, speak a paragraph, release The text appears at the cursor.
- Read it back Same discipline everywhere.
Word receives keystrokes, so everything behaves normally: styles apply, autocorrect runs, track changes records the text as your edit, and the document autosaves.

Track changes, styles and the things that catch people out
- Track changes. Dictated text is recorded as your edit, with no marker saying it was spoken. That is almost always what you want.
- Autocorrect. Word's autocorrect runs on top of whatever is typed. If it keeps changing a name, that is Word, not the dictation — fix it in Word's AutoCorrect options as well as in your dictation vocabulary.
- Styles. Text inherits the style at the cursor. Set the style first, then dictate, or you will be reformatting afterwards.
- Lists. Start the list, then dictate each item, pressing Enter between them. Do not try to dictate list structure.
- Comments. Ordinary text fields. Dictated comments tend to explain the reasoning, which typed ones often do not.
Long documents
For anything over a page, the productive pattern is not to dictate the document in order. Dictate the sections you already know how to say, leave gaps, then restructure with the keyboard. Speaking produces text fast and structure slowly; the keyboard is the opposite.

Questions
Why is the Dictate button greyed out in Word?
The usual causes are no Microsoft 365 subscription, not being signed in, or no internet connection — Microsoft's requirements name all three. A system-wide Mac dictation app is unaffected by any of them.
